Live Events Assistant

Group Overview: A leading management and professional services company based out of the UK and US, YMU provides a portfolio of services to a wide range of clients consisting of leaders in entertainment, film, music, radio, television and sport, including athletes, authors, digital influencers, media rights holders, musicians, producers, TV personalities and voiceover artists.

Job Purpose: To support the Live team with administration, project management, and operational services across tours and live events, ensuring their time is optimally utilized and events run smoothly and successfully.

Key Responsibilities:

  • Helping to project manage the event pipeline and day to day needs of the team.
  • Proof reading press releases, announcements, artwork, and other promotional materials.
  • Handling various administrative duties as needed, such as arranging internal and external meetings, coordinating travel, and ordering props or materials.
  • Review and understanding of contracts, collaborating with your line manager to ensure smooth execution of terms.
  • Attendance at events, including weekends and evenings.
  • Liaising on the phone and via email with stakeholders (e.g. production partners / promoters / PR / photographers) on all event relevant logistics.
  • Writing clear briefs for a range of needs including: creative, photography/filming, PR, marketing, event, directors, producers.
  • Capture meeting minutes, track action items, and monitor deadlines.
  • Communicate with vendors, suppliers, and contractors to ensure that all necessary services are in place for the event or tour.
  • Serve as a point of contact between the live team and the talent’s management team, helping to manage the talent’s needs, schedules, and any last-minute requests or changes.
  • Assist in tracking event budgets, ensuring costs are within scope, processing invoices, and helping with financial reporting.
  • Maintain records of bookings, contracts, schedules, and other important documents to ensure smooth operation and easy access to information.
  • Contribute to creative ideas for client live strategies.
  • Expense management.

Person Specification:

Essential Requirements

  • Efficient/organised and prompt at replying to emails
  • Great attention to detail
  • Experience in live events
  • Experience in project management, including coordinating timelines, resources, and teams to ensure successful project delivery. Strong organizational skills and the ability to handle multiple tasks simultaneously are essential for managing various aspects of a project from start to finish.
  • Strong maths and analytical skills with experience managing a P&L/budgets
  • Can do attitude
  • Across the board, discretion is of the utmost importance
  • Excellent communication skills
  • Proactive and forward thinking; able to use own initiative, the ability to think creatively and put forward their own ideas with a taste and interest in all things live entertainment
  • Professional appearance and approach
  • Ability to deal with highly sensitive and confidential issues in a professional manner
  • Experience of working to tight deadlines and an ability to prioritise accordingly in a fast paced and highly pressured environment. The ideal candidate is unflappable and adaptable.

Preferable Requirements

  • Previous experience providing assistant support in a similar room
  • Previous experience in event promotions/touring will be looked upon favourably
  • Highly creative
