Team Overview: Global Entertainment is a division of YMU, which develops, guides, and executes the careers of our world-class talent in the traditional Entertainment and Social first space. The division is proud to represent an industry leading group of 50+ broadcasters, creatives, artists, musicians, creators and authors, supporting and amplifying them across their commercial, live, literary, podcasting, and strategic business needs. This individual will work across a variety of clients that sit within the entertainment space as well as creators.

About the job: To assist on a variety of clients with administration and support services to ensure that they fully utilise their time effectively. 

 Responsibilities:

  • Running logistics on the day-to-day diaries for high profile clients and YMU Director
  • Assisting on brand partnerships/corporate events, formulating question proof briefs for clients that are easy to follow, guiding the client through the content creation process. Ensuring both client and agency have all requirements shared clearly and in a timely manner.
  • Take notes during meetings to be circulated that are clear and concise which can be understood by those not in attendance 
  • Using our client facing systems, ensure clients have easy access to all the documentation that they require – contracts, payment settlements etc. 
  • Ensuring client biographies and stats are up to date on the YMU website and their media cards monthly
  • Dealing with any other ad hoc duties that might be required – for example arranging times and meeting rooms for internal/external meetings
  • Basic day-to-day running of the team’s client facing responsibilities including: organising client gifts, arranging receipt of fan mail/PR packages, charity requests and responding to personal invitations
  • Compiling material for showreels and working with wider team to compose them
  • Tracking partnerships, broadcast commitments, and other paid for activity in our internal forecasting system, AirTable and ensuring this is accurately inputted into by the wider business
  • Raising invoices using our internal system, Paprika
  • Occasional attendance at events/shoots with client
  • Liaising on the phone and over email with agencies and other partners on client logistics to pre-empt their potential questions/concerns i.e. does the client only use autocue, what is their tech rider for DJ set up if performing, do they have a preferred car company they only use etc.

  • Experience of working to tight deadlines and an ability to prioritise accordingly in a fast paced and highly pressured environment

Preferable Requirements 

  • Previous experience providing assistant support or experience within Media, or the Entertainment Industry will be looked upon favourably but is not a requirement as this is an entry level position
